Korea Data Systems Co., Ltd. (“KDS”, “we”, “our”) is committed to protecting the privacy of fleet operators, drivers, and platform users. This Privacy Policy explains what data we collect through the KDS Fleet Intelligence Platform and associated services, how we use it, and your rights.

1. Data We Collect

We collect information necessary to operate the KDS Fleet Intelligence Platform:

Vehicle & Telemetry Data: GPS coordinates, speed, heading, fuel level, engine status, and sensor readings transmitted by KDS hardware devices installed in your vehicles.

Driver Data: Names, license numbers, license categories and expiry dates, Hours of Service (HoS) records, driving event history, and performance scores — provided by your organization or captured automatically by the platform.

Media Data: Video recordings and snapshots captured by DVR camera systems installed in vehicles.

Account Data: Organization name, administrator name, email address, billing information, and user login credentials for platform access.

Usage Data: Platform activity logs, feature usage patterns, and API access records used to maintain service reliability and improve the platform.

2. How We Use Your Data

KDS uses collected data exclusively to:

• Provide and operate the Fleet Intelligence Platform and all contracted features • Process and display real-time vehicle telemetry, alerts, and reports in your dashboard • Store and serve DVR media (video, snapshots) on your behalf • Calculate driver compliance metrics (HoS, license status, performance scores) • Send operational alerts and notifications configured by your administrators • Improve platform performance, reliability, and feature development • Fulfill legal and regulatory obligations

We do not sell, rent, or share your fleet or driver data with third parties for marketing purposes.

3. Data Retention

Retention periods depend on your subscription plan:

Starter Plan: Telemetry and event data retained for 7 days • Professional Plan: Telemetry and event data retained for 90 days; media files per storage quota • Enterprise Plan: Configurable retention periods; unlimited options available

Upon contract termination, data is available for export for 30 days, after which it is securely deleted from all KDS systems. Backup copies are purged within 90 days of the deletion request.

4. Data Security

KDS employs industry-standard security practices to protect your data:

• All data in transit is encrypted using TLS 1.2 or higher • Data at rest is encrypted using AES-256 • DVR video streams between devices and the cloud use end-to-end encryption • Access to production systems is restricted to authorized KDS personnel via MFA-protected accounts • Audit logs are maintained for all administrative access to customer data • Regular penetration testing is conducted by independent security firms • ISO 27001-aligned information security management practices

5. Your Rights (GDPR & POPIA)

Depending on your jurisdiction, you may have the following rights regarding personal data processed through the platform:

Access: Request a copy of personal data held about you or your employees • Rectification: Request correction of inaccurate personal data • Erasure: Request deletion of personal data (subject to legal retention requirements) • Portability: Request an export of personal data in a machine-readable format • Objection: Object to certain processing of personal data • Restriction: Request that processing be limited in certain circumstances

6. Third-Party Services

KDS uses a limited set of third-party services to operate the platform:

Cloud Infrastructure: AWS / Azure for hosting and data storage (data processing agreements in place) • Map Services: Google Maps API and OpenStreetMap (for route visualization; no vehicle data is transmitted with map requests) • Payment Processing: Stripe (for subscription billing; KDS does not store card numbers) • Email Notifications: Transactional email providers for alert delivery

All third-party processors are bound by data processing agreements consistent with GDPR and POPIA requirements.

7. Cookies

The KDS platform uses essential cookies for session authentication and security. We do not use tracking cookies or third-party advertising cookies.

The marketing website (this site) uses first-party analytics cookies to understand page traffic. No personal identifiers are collected. You can opt out via your browser settings.

8. Changes to This Policy

KDS may update this Privacy Policy to reflect changes in our practices or legal requirements. We will notify account administrators via email at least 14 days before material changes take effect. Continued use of the platform after the effective date constitutes acceptance of the updated policy.
